Extraordinary Bat Mitzvah Event at Aix la Chapelle

While it’s our goal to make every client’s experience at their event feel as effortless and easy as possible, extraordinary events don’t just happen overnight! Countless hours and resources go into planning, designing and preparing for every event (and that’s before the execution process begins!). While the average event takes only 3-5 hours of set-up the day of, this one took an amazing 3-5 days. From expecting the unexpected to working with dozens of vendors to make magic happen, Innovative Party Planners works hard to create extraordinary events. What does it look like when we go above and beyond to make an amazing event happen?

Day 1 Installation | Wednesday

Before this Saturday Bat Mitzvah, we started preparations on Wednesday as bathrooms, trailers, generators and tents arrived at the venue. Even at events smaller and less intensive than this, we always have team members on-site to ensure that everything is installed safely, properly and in the right place. We also will conduct a walk through with critical event personnel to confirm the flow of the event. 

Day 2 Installation | Thursday

On Thursday, the golf carts and on-site transportation arrived, as well as lighting for inside of the tent, gorgeous draperies and ceiling swags. The dance floor was also installed in the barn space, and decorative draping was secured around the trailer we planned for the caravan ride. While things weren’t quite picture perfect yet, we were making great progress. 

Day 3 Installation | Friday

The day before the Bat Mitzvah service and celebration was a big day, as tables and chairs arrived and were set up in the tent, cooking equipment, glassware and china were delivered, centerpieces were assembled and everything started to fall into place. From linen deliveries to setting up signage for vendors that would be arriving on Saturday, Friday was a busy day of moving everything into place and preparing for everything to be perfect on Saturday. 

Day 4 Service and Celebration | Saturday

It’s showtime! On Saturday, all of the groundwork that we laid started to come to fruition, as the event décor arrived and was put in place. Over 250 service programs, 200 plus pair of dancing flip flops, 250 masks, a fun candy bar, and an entire bakery began to fill the event space. The entertainment arrived and the level of excitement in the air became palpable. Late in the afternoon, our family arrived for portraits. By 5:00 pm guests started to arrive and take their seats, as the photographers and videographers started capturing the event.

This masquerade-themed Bat Mitzvah was plenty of fun and included a cocktail hour caravan ride, open air photo booth, lip reader, magician, drag queen, live music and more. Guests enjoyed a delectable pretzel bar, multiple chef prepared stations, signature drinks, a full bakery of freshly baked desserts, and candy bar and partied the night away on the midway, in the tent, the party barn and finished around a bonfire. Putting on such a large event was a huge accomplishment for our team. 

Day 5 Clean Up | Sunday

That’s right, the event didn’t stop at the end of Saturday night! Our team oversaw the removal of the bathrooms, dance floor, linens, drapes, tables, chairs, tents and ensured all borrowed items were returned to the storage spaces on the farm. We make it our goal to always leave a space better than we found it.
